Timeline of steps to take after you're nominated

Congratulations on being nominated to a partner university! There are still important steps you must take before you go.

Before you go on exchange

Depending on when you go for exchange, you must take important steps in order to prepare yourself for your studies abroad.

Timeline for Fall exchange students

Follow the steps in this timeline if you're going on exchange during the fall. 

February

You've applied for exchange and your application is being reviewed.

Check your passport

Check to see if you have a valid passport. Your passport should not expire until 6 months after you intend to return from your exchange. You may be notified early if your host university has earlier deadlines

If you are a Commerce Student, your faculty advisor may email you to request an interview (if you chose a competitive university partner).

February/March

Receive your nomination email

The email will give you details about your next steps, instructions to complete your exchange experience, and details on the pre-departure program.

March Participate in the pre-departure program.
April/May

Review and prepare for your host university

  • Review and submit your host university’s application and all supporting documents to Go Global by the deadline as indicated in your email about application instructions. Deadlines can be as early as March
  • Review accommodation information on your host university's website
  • Review and research the visa requirements for your host country

May/June

Receive your acceptance letter

You may receive a digital acceptance letter or have your letter delivered directly to you. When you receive your letter, be sure to notify Go Global within 2 business days.

Prepare your travel arrangements

Once you have received your acceptance letter, finalize all travel arrangements including your visa (if necessary), airline ticket, and health insurance.

If you have any questions about travel arrangements, contact a Go Global advisor.

Complete the Safety Abroad registry

Complete the online Safety Abroad Registry, including signing the Student Mobility Agreement.

Timeline for Summer exchange students

February

You've applied for exchange and your application is being reviewed.

Check to see if you have a valid passport. Your passport should not expire until six months after you intend to return from your exchange.

If you are a Commerce Student, your faculty advisor may email you to request an interview (if you chose a competitive university partner).

Summer programs often have earlier application deadlines. Be sure to review our page on how to apply to your host university.

Go Global will register you in their EXCH code.

Pay your fees

You must pay your UBC tuition fees on the Student Service Centre (SSC) or pay your tuition fees to your partner institution if you were instructured to do so.

Complete the Safety Abroad registry

Complete the online Safety Abroad Registry, including signing the Student Mobility Agreement.

May

Prepare your travel arrangements

Timeline for Spring exchange students

July Go Global will register you in their EXCH code. The EXCH code will show on your Student Service Centre (SSC).
August

Receive your nomination email

The email will give you details about your next steps, instructions to complete your exchange experience, and details on the pre-departure program.

Review and prepare for your host university

  • Review your host university’s application requirements and all supporting documents
  • Review accommodation information on your host university's website.
  • Review and research the visa requirements for your host country. Make sure your passport is valid for at least 6 months after you return from your exchange – if not, renew it immediately.
September

Complete and submit your partner application to Go Global (the deadline could be as early as September and October).

October

Register for and attend the mandatory pre-departure program

Receive your acceptance letter

You may receive your acceptance letter any time between October and early December. Your acceptance letter will be delivered to you directly or you may receive a digital acceptance letter.

When you receive your letter, be sure to notify Go Global within 2 business days

Complete the Safety Abroad registry

Complete the online Safety Abroad Registry, including signing the Student Mobility Agreement.

November

Prepare your travel arrangements

Once you have received your acceptance letter, finalize all travel arrangements including your visa (if necessary), airline ticket, and health insurance.

December

Pay your fees
